Multiply Many At Once

When you're working in MS Excel, do you ever have the need to multiply, add, subtract or divide several cells by the same value?

If so, please tell me you didn't go through and make all of those changes individually!

Well, I hope not, because that can be very time consuming and Excel offers a much more efficient method that is available right within the Paste Special function.

  • To add, subtract, multiply or divide many cells by the same value, you must first enter that value into an empty cell.

  • Then copy the cell.

  • The next step is highlighting the cells you're going to change.

  • Now, you need the Paste Special function. (In Excel 2007, you can get there from the down arrow on the Paste button located on the Home ribbon. In all other versions of Excel, you'll find it under the Edit menu).

  • Once you're in the Paste Special dialogue window, you're looking for the Operation section.



  • Select the correct operation and click OK.

Voila. Everything is altered all at once with just a few clicks!

Another reader asked: Can you please tell me a little more about encryption in regards to wireless Internet?

Of course I can! We have mentioned encryption in some of our other articles before, but we've never really explained it very well, so thank you for asking this question. Before we get started, I need you to instill something into your mind. Just take note that when it comes to your wireless network, make sure you know you will always need encryption. There are no and, ifs or buts about it. You need it!

Okay, so, first of all, what is encryption? Well, it is the process of coding or scrambling information so that it can only be read by someone who knows the correct decoding key. Encryption is used a lot on secure Web sites and other data transfer programs. In other words, encryption stops anyone who is not supposed to read certain information from actually having access to it. For example, if you were to enter an unsecure site and a third party saw some of your information, they would be able to read it if you didn't have your encryption enabled. Otherwise, they would be able to see everything. It's always safer to do things over an encrypted line.

So, in regards to using a WiFi router, it's best to have your line encrypted. WiFi signals are basically radio waves and they can be picked up by any receiver without you ever knowing it. The receiver doesn't have to be connected to your router in order to gain access to your system. If you don't use encryption, all of the data you transfer over your computer is sent in a plain text format and it can and probably will be read by anyone who is interested.

When it comes to your wireless connection, it's just simply best to use every form of protection you can get. Along with having a personal firewall and an antivirus program on your computer, it's smart to use closed networks, address limitations and of course, encryption.

There are a couple types of encryption, including WPA and WPA2 (WiFi Protected Access). There's also WEP, but WPA is much stronger and it's newer. With WPA, your encryption key changes with every session, so it keeps your system much safer. set high priority to e-mails

Q:
For my job, I send out a lot of e-mails that are very important for people to see right away. How can I set them as high priority so that they will view them as soon as possible?

A:
Excellent question! As you go about your daily e-mailing, you know that some of the e-mails you send out are much more important than others. For instance, e-mails you send to clients at your business are more important than sending a joke to your best friend. (Or, maybe it's the other way around for you!)

Setting your e-mails as high priority, or even low priority, will help your receivers understand if the e-mail needs to be read as soon as they get it or if they can let it go for a couple hours. I'm not saying you should mark every e-mail you send as high or low priority, but it's nice to let your readers know what's going on. High priority is much more common than low priority, because it just lets everyone know how important the e-mail is. Setting your e-mail priority is very simple to do, so let's get started!

In Outlook Express, create a new message just like you would for any other e-mail. Along the toolbar buttons at the top, look for the button that says Priority. Click on it once to get High Priority, click on it twice to get Low Priority or click three times to have no priority at all. There's also a down arrow on the button, so you can click on that to choose either high, low or normal (none) priority as well.

A red exclamation point is used for high priority and a blue down arrow is used for low priority. Once you choose your priority, a message will appear at the top of the e-mail saying which status the e-mail is set to. Next, you can compose the e-mail like you normally would and send it off. When your receiver gets the e-mail, they will see either the exclamation point or the arrow beside their message. That way, they will know instantly if they need to read the e-mail right away or not.

If you use Netscape mail, click on the New Message button and look for the pull down menu that says Priority. When you click on the menu, a list of priority settings ranging from lowest to highest will come up and you can select which one you want. Then just compose the e-mail like you always do and send it off.

For Hotmail, click on New and look for the drop down menu at the top of the page that says "Set priority to." You can then choose between High importance and Low importance. Once you've made your selection, just type out the e-mail and send it off.

If you've gotten a new computer in the last few years, it more than likely came with USB ports. If you're not sure, USB ports are the little slots on either the front or back of your computer that you can use to plug in certain devices, such as a flash drive or digital camera. USB ports come in two different speeds: 2.0 and 1.0, with 2.0 being faster. Most newer PCs have the 2.0 speed, but if you purchased yours quite awhile ago, you may have the 1.0 speed. So, if you've ever wondered which speed you have, keep reading to learn how you can find out!

To get to your computer's USB area, you need to right click on the My Computer icon on your desktop and choose Properties. Next, click on the Hardware tab and then hit the Device Manager button. When the new window opens, scroll down to the very bottom where it says Universal Serial Bus controllers. Click on the plus sign (+) next to that and all of your USB information will come up. You may have quite a few listings or you may only have a few. It just depends on how many ports came with your computer and if you've added any yourself.

If you see one that says something like "USB Enhanced Host Controller," that means you have the 2.0 speed. The "Enhanced" part is what sets the 2.0 apart from the slower speed. On my computer, that entry was the very last one, so make sure you look through your whole list before you make any assumptions. Also, just for your information, if one of your USB ports is 2.0, it's likely that all of your ports will be the same. That goes for the 1.0 speed as well. Most computers don't come with two different port speeds. So, tell me, how does it feel to know what kind of USB speed your PC is running? Pretty darn good, huh? Check yours out today!

Do you know anything about a defrag tool called Defraggler? If you do, I'd love to learn more about it. Thanks for any information you can share!

A:
You know, I'm really glad you asked this question, because I actually just heard about Defraggler the other day and after trying it out for myself, I knew I just had to tell all of you about it as well! It was even mentioned on WorldStart's message board the other day (thanks to user "yorkshire lass"), so you know it must be worth discussing. So, what do you say we check it out?!

Basically, Defraggler is a free defrag program you can download that allows you to defrag just the files you want. That's right, you no longer have to process your whole hard drive if you don't want to. Once you download the program, you simply run it, select the files you want and let Defraggler do its thing. It makes the process go a whole lot faster and you get peace of mind knowing exactly what's being defragged on your computer. And from time to time, if you want to defrag your whole hard drive, you can do that as well.

Another great feature of Defraggler is it's very compact and portable. It was designed with a compact architecture, which results in a single EXE application. Therefore, it can be copied over to a flash drive or other portable device so that you can use it whenever you need it, without installing it again. The EXE application itself is only 1 MB in size as well. It doesn't get much more compact than that!

Now, I'm sure you're wondering how the whole defrag process works, am I right? Well, like I said before, all you have to do is download Defraggler and run it just like any other program. You then select the files or folders on your computer that you would like to defrag. Once the defrag is done, Defraggler will tell you the job was done successfully and if there are any, it will give you a list of fragmented files still on your hard drive. If you click on them, you'll be able to see exactly where they are on your drive, which should help you better understand why they couldn't be defragged. Cool, huh?!

New Release: Opera 9.5

I know I'm a little behind on this, but I literally just found out about it. I don't know how it slipped past me, but thanks to all of WorldStart's message board users, I'm in the know again! If you're an avid Opera Web browser user, I'm sure you're already using the new version, but just in case you didn't hear the news either, I'm here to give you the full scoop. On June 12, 2008, Opera 9.5 was released to the public and lucky for all of us, it is now available for download. Keep reading for all the details!

First of all, Opera 9.5 is a recommended security and stability upgrade, but it also includes a wide array of new features. One of the major ones is new storage and indexing formats for their version of e-mail: Opera Mail. The e-mail program is also boasting a new user interface and it's now much more secure, reliable and faster. The browser interface has also undergone some changes, as it now has an Opera Link for all of your bookmarks, etc., a new Quick Find feature and a redesigned address bar, among others.

A few customization changes have been made as well, including a new skin, a new Home icon and a New Tab icon. Even more, like I said earlier, several security fixes have been made. Firefox Download Latest Version

If you're an avid Firefox user, I'm sure you already know all about this, but just in case you've been living under a rock for the past few days, I'm here to fill you in! Ever since Firefox 2 was released, there has been talk about a third version. And well, that day has come! Firefox 3 was released on June 17, 2008 (just yesterday) and it is now available for download. It's been three years in the making and it's finally here. Read on for all the details!

This version of Firefox included three Release Candidates (RC) that were able to fix any issues that came about during the testing process. In fact, the third RC was released just last week (on June 11, 2008) and it took care of the last found issue. Mozilla said the final release of Firefox 3 is identical to the RC3. With the official release of Firefox 3, Mozilla is hoping to set a Guinness World Record for the most downloads of one application in one day. I'd say they've got a good chance, wouldn't you?!

With the new version of the popular Firefox Web browser, you can expect performance enhancements, more privacy and it's even easier to use. It also comes with a more simple navigation system so that you can surf the Web with confidence. It also, of course, has stronger security to protect you from viruses, spyware, pop ups and any other type of malware you can think of. It truly has all the bases covered! Looking to buy some new software for your computer? Not sure where you should go to buy it? Then read here for some great tips on what you should consider before taking the plunge. Check it out!

When you're buying new software, hardware or even a new computer, you have a few choices of buying locations to choose from. Of course, you can buy from a local retailer or from the Internet, but an auction is also a choice to consider.

A local retailer is probably one of the safest buying locations, but there are still some issues that could arise. Unfortunately, some sales representatives are all about "the sale," so they may tell you incorrect information about the product you're looking at just to seal the deal. Or, even worse, they may not even know any detailed information about the product. Both of those situations hurt only you in the end. If you're talking with a sales rep, ask them to demonstrate what they're explaining to you. That way, you know for sure what the item will do.

Another issue with a local retailer is the return policy. Make sure you know how long you have to return something in case it doesn't quite work the way you wanted it to or ends up breaking. You also need to be aware of the warranty that comes along with your purchase. Make sure it's offered by the manufacturer of the product or by the place of purchase itself.

Now, we all know there are some concerns when ordering online. Online shopping is becoming more popular each day, but with it, comes some extended problems. When you order something from the Internet, be sure the Web site you're ordering from is secure. When you're entering in your credit card number, look at the bottom of the screen to see if there is a small padlock there, like this:

If there is, it means your information will be kept secure and it's okay to continue. You can also look at the Web address for clarification. If there's an "https" at the beginning of the URL, the site is secure. If it just has "http," it's not. If you don't see either of those things, you may want to reconsider your purchase.

You should also make sure the company you're ordering from is well known. If the site doesn't contain contact information for the company, be wary of ordering from them. Be aware of piracy issues as well. These days, it's very easy for anyone to copy material to their own CDs and sell them. You need to make sure what you're buying is an authentic copy by looking for documentation of the product as soon as you receive it. You can also tell if a CD is burnt by the color tint. CDs are usually a greenish or goldish tint. A good phrase to go by is "if it sounds too good to be true, it probably is!"

When buying online, you should also check into return policies, warranties and make sure you always keep confirmation e-mails for your records.

Now, another popular buying location is from an auction. You can sometimes get computer products a little cheaper from an auction, but keep a look out for scams by the actual auctioneers. Look into their history and profile before buying anything from an unknown seller. Piracy, return policies and warranties are also issues you should check on when dealing with an auction.

Another type of auction is an online auction, such as eBay. It's recommended to pay by check in that type of situation, if possible. That will help prevent your credit card number from being stolen. If you have to pay by credit card, use a PayPal account for extra security.

When you're buying new computer products, it's better to be safe than sorry. Items may be cheaper at different buying locations, but there are also a lot of different scenarios out there today to look out for. Make sure you do your homework before you make an actual purchase. You'll thank yourself later for doing so. Be safe!

Keep Your Formatting

Did you try yesterday's Paste Special trick in MS Excel? If so, did you find that the formatting of the cells, where the paste occurred, was gone?

If you did, I'm sure you'd like a way to prevent that transformation while the Paste Special does its thing, right?

Assuming that's the case, I'm here to show you a small change you can easily accomplish while making your Paste Special choices.

As you choose which operation Excel should perform on the data, go ahead and select Values from the top portion of the dialogue window as well.

Then click OK.

There you have it. No more formatting changes for you!

Can you please tell me what the difference is between a quick reply and a post reply on your message board? Does it matter which one I use?

A:
Back by popular demand! That's a really good question and I bet several of our other message board users have wondered the same thing. For those of you who don't know, when you post a question on WorldStart's message board, the person who responds to you has the option of clicking on either "Post Reply" or "Quick Reply." Then if you want to answer back to them as well, you have the same choices. (Yeah, we're pretty fair here at WorldStart. We give everyone the same options!)

So, let's go over what the differences are so that you'll know exactly which one to use the next time you use the message board. Let's start with Post Reply. That choice basically gives you more options for your reply. You can change the font style, the font size and even the color of your text. You can also add a bold, italic or underline style to your words if you want. With Post Reply, you can add bullets for any listing you want to do, you can add hyperlinks, e-mail links and you can even play around with text wrapping, etc.

There are also emoticons (smileys) you can use in your message. If you say something funny, you can insert a happy face or if you're frustrated with something, use the question mark face. You can also choose an icon for the type of message you're sending. There are smiley faces, there's a thumbs up, a thumbs down, arrows, etc. Or, you don't have to use an icon at all. Once you're done, you can also preview your post before you submit it by clicking on the Preview Post button located below your typed message.

If you scroll down even further, there are some advanced options you can browse through. Here you can add attachments to your message and do some other things with the threads. So, as you can see, there's quite a bit you can do with the Post Reply option. Now, what can you do with the Quick Reply feature?

With Quick Reply, you just basically type in your message and then send it off. You can choose to bold, italicize or underline your text, but you can't change font sizes or anything like that. You can also choose to quote the original message in your reply with this option if you'd like to do that. Other than that, you just type in what you want to say and click on the Post Quick Reply button.

That's basically it! There are quite a few differences between the two, but now that you know, you can choose which one bests suits your message board needs. You can use a little of both or stick with one way all the time. It's completely up to you!

Q:
How can I determine what type of modem my computer has?

A:
That's a very good question and it's probably a smart idea to check and see what kind of modem you do have installed on your computer. That is, if you don't already know. It's good to know in case something ever goes wrong with it. If you have to call tech support, you'll be able to tell them right away what type you have, etc. They will be impressed when you whip that information right out!

It's fairly easy to look up the type of modem you have in your computer. You just have to follow a few steps. Note: These steps are for Windows 98, 2000 and XP only.

Okay, let's get started! Go to Start, All Programs, Accessories. Under that section, look for the System Information folder. XP users will have to click on System Tools and then System Information.

Once you're there, click on the + (plus sign) next to the item called Components and then click on Modem. A whole page of information will come up on the right hand side telling you things like the name of your modem, a description, the provider name, different compressions and controls, speaker modes, tones, memory address, ports, channels and more. It's amazing how much information you can get about your modem by following just a few simple steps!

You can also get information about your modem by actually looking at it. You should be able to find items like the name, manufacturer, model number, speeds, etc.

If you ever have to call tech support about your modem, that sort of information is good to know ahead of time. That way, you don't have to take time to look for it while you're on the phone. Know the manufacturer, the type, the model and the speed of your modem if possible. It will read something like this: PCI 3COM 96k modem. And now you know all about your computer's modem. Yes!

Keep That Cartridge Fresh

Quick Tips

Today's quick tip is just a little friendly reminder for all of you computer users out there! If you use a computer, chances are, you use a printer quite often as well. I know many of you even like to print out some of WorldStart's tips and to do that, you need to make sure you have a sufficient amount of ink.

So, this is just me telling you to remember to keep your ink cartridges clean and fresh. If you don't print very often, your cartridges (both black and color) can dry out very quickly. You should always run your printer every so often so that doesn't happen. If you don't keep the ink flowing, it will dry up way before it's supposed to. If that happens, you'll just have to buy a new cartridge and that just wastes your money!

You should also remember to clean your print heads every once in awhile. That will help keep the cartridge area clean as well. You can read here for some help with cleaning the print heads. Keeping everything fresh and up to date will benefit you greatly in the long run!

Online News

Did you know you can read pretty much everything you read in a newspaper on the Internet? Well, now that you know, you can! There are several Web sites online that have daily news from around the world, from within your state and even within your city or town. Let's check it out!

For starters, sites such as www.msn.com, www.yahoo.com and www.google.com have all kinds of news. They offer everything from world news to sports to entertainment. Some Web sites even have other news categories, such as business, health and technology.

All you have to do when you go to one of those sites is look for the News link and click on it. That link will take you to the main news section on the site and you can then search through the stories to find something you'd like to read. Some of the Web sites even offer a place for you to enter in your zip code so that you can read your local news. Most of the sites usually have pictures as well!

You can also go to your newspaper's Web site to read their news. If you happen to miss a newspaper one day or somehow misplace it, you can always log in to your newspaper's site to read that day's articles. (The Web address should be in the newspaper somewhere). Originally used pictures also accompany most of those stories as well.

It's a really cool idea if you like reading things on your computer instead of in little black print on paper. You can grab your morning coffee, log on to your computer and catch up on the daily news!

As you may recall, the other day, we went over how to find the Page Setup window with just a quick double click. Well, that prompted me to start double clicking elsewhere to see what I could find!

Happily, I found yet another stop on the express train! This time, we're looking at a fast and easy way into the Customize window.

First, if you're an MS Office 2007 user, keep in mind that this tip only works in Outlook 2007. Unfortunately, the ribbons in the other programs cannot be customized. I'm sorry for the bad news, but it can't be helped.

As for the rest of you, I was able to get this to work in MS Outlook, PowerPoint, Word, Access and Excel. Basically, it works across the board!

I don't know about you, but I like to see all of the buttons that are available to me. To do that, you have to sit them side-by-side, which doesn't work very well, because the program hides the buttons as it tries to make everything fit on a single line. Because of that, I tend to stack the toolbars that are visible in my MS Office program windows.

The result of that is a lot of free space on the right side.

So, there in the free space is where I double clicked and found today's tip!

All you need to do is double click in the unused space next to a toolbar and the Customize window will instantly pop open.

Now, that's what I call maximum effect with minimum memorization!

I started up my computer this morning and all of my icons were gone! What could have happened? How can I get them back? Please help!

A:

Oh my, what an unpleasant surprise! I can only imagine how lost you must feel. I mean, we all depend on our desktop icons to get us through the day, so it just seems impossible to live without them. And I'm talking about major icons like My Computer, My Documents, My Network Places and so on. Those are a few of the icons you probably use on a regular basis, so if they're not there, what are you supposed to do? Well, the best answer is, "Get them back!"

Now, there are a couple of different ways you may have lost your icons. They could have disappeared when you installed a certain program or even when you upgraded to a new operating system. Either way, you need them, so let's find them again! To enable those icons and more, right click on your desktop and choose
Properties. Click on the Desktop tab and hit the Customize Desktop button. Next, under the General tab, check off any of the icons you want to appear on your desktop.

Once you do that, they will all be returned to your desktop in full view. You can choose from the icons of My Documents, My Computer, My Network Places and Internet Explorer. Now, on the other hand, you may want to take some of those icons off your desktop. If that's the case, just uncheck them and they will be out of your way. Easy enough, don't you think?!

As you may remember, last week, I wrote an article about the Windows Vista Program Compatibility Wizard you can use if you're having trouble getting some of your programs to work on your Vista computer. (If you missed out on that tip, you can read it right here). After it appeared in the newsletter, I received several e-mails and even a few phone calls with questions about it. It seemed like a lot of you were having trouble finding the feature, so I thought I'd take some time today to clear all of that up. Here we go!

After so many of you told me you couldn't find the Program Compatibility Wizard, I got to thinking that maybe it wasn't available with every edition of Vista. I tested the tip on a Vista Home Basic computer and it worked just fine, so I thought maybe it wouldn't work for everyone. I thought that was strange, but I know it has happened with other things, so it was possible. But then I started researching it a little more and luckily, that's not the case at all. Keep reading as we solve this mystery!

In order to find the Program Compatibility Wizard, you have to be in a certain Control Panel view. In Vista, there is a Control Panel Home view and a Classic view and you must be in the Control Panel Home view to find the Wizard. If you happen to be in the Classic view, you won't be able to find it. So, to check on that, go to Start, Control Panel and look in the top left hand corner. You will see a dot next to whichever view you're in. If you're not in the right one, simply click on Control Panel Home and you'll be taken to the correct spot. You can then go to Programs and click on the option that says "Use an older program with this version of Windows." Then just follow along with the wizard and you'll be all set. I hope this clears up all of the confusion!
